Job Purpose

The purpose of this job is to provide document preparation and scanning support.

Duties and Responsibilities

The Scanning Clerk is responsible for organizing, preparing, and scanning hardcopy print documents in a timely and accurate manner. The job duties and responsibilities include, but are not limited to the following:

  • Document Preparation. All documents must be prepared prior to scanning, and preparation may include removing binders, files, paperclips, staple removal, orientation, removing sticky notes when they cover relevant text and images, straightening bends/creases, and repair of torn pages, etc.
  • Document Scanning. Large volume document scanning will be performed using one or more PC workstations with attached scanner(s) using production scanning software.
  • Quality Control. All images should be reviewed to ensure images are readable, oriented properly, and that all images in each batch have been scanned using double feed detection technology.
  • Data entry of established index values for images.
  • All client and organizational information are protected and kept confidential.
  • Perform preventative maintenance, including checking and cleaning workstations and scanners, as needed.

Qualifications

Minimum Education & Experience:
  • High school diploma or equivalent
  • At least 2 year of document scanning experience
Skills, Knowledge, & Abilities:
  • Must be able to manage workload, complete tasks, and communicate effectively without direct supervision.
  • Must be detail oriented and well-organized; able to understand computer information systems and ensure accuracy of work.
  • Must be able to lift to 40 lbs.
  • Must type 45 wpm.
  • May need to travel to outer islands.
