Description
The Executive Assistant provides high-level administrative and operational support to the Vice President for Student Success and Enrollment Management. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced higher education environment. The Executive Assistant serves as a key liaison between the Vice President's office and internal and external stakeholders, ensuring efficient communication and coordination of activities that support student success and enrollment initiatives.

Examples of Duties

  • Manage the Vice President's complex calendar, including scheduling meetings, events, and travel arrangements.
  • Prepare briefing materials, reports, presentations, and correspondence.
  • Coordinate and prioritize incoming requests, ensuring timely follow-up and resolution.
  • Serve as the primary point of contact for the Vice President's office.
  • Facilitate communication between the Vice President and university leadership, faculty, staff, students, and external partners.
  • Draft, edit, and proofread communications on behalf of the Vice President.
  • Coordinate meetings, including agendas, minutes, and follow-up actions.
  • Support planning and execution of strategic initiatives related to student success and enrollment management.
  • Maintain confidential files and records with a high level of accuracy and discretion.
  • Monitor budgets, process invoices, and track expenditures as needed.
  • Assist with data collection and reporting for enrollment and student success metrics.
  • Coordinate special projects, committees, and task forces led by the Vice President.
  • Assist in planning and executing events such as orientations, recruitment events, and student success programs.
  • Track project timelines and ensure deliverables are met.
  • Oversee daily operations of the Vice President's office.
  • Develop and implement administrative processes to improve efficiency.
  • Provide support and guidance to other administrative staff as needed.
Typical Qualifications
  • Bachelor's degree or equivalent combination of education and experience.
  • 3-5 years of executive-level administrative support experience.
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Demonstrated ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite and standard office technologies
Preferred
  • Experience in higher education or enrollment management.
  • Familiarity with student information systems and data reporting tools.
  • Experience supporting senior-level executives.
